Your tutor will guide you through the process, with the advice of the coordinator of your doctoral programme, who must authorise the deposit.
Remember that you must have previously had your research plan evaluated for the academic year, and have completed and validated the doctoral activities document (DAD). In addition, you must include the contribution to accredit the quality of your thesis required by your doctoral programme, in accordance with the following document:
The documents required for the deposit process can be found at the following link, and the corresponding rules can be accessed at: https://esduvadoc.uva.es/normativa/escuela/BOCyL.%20Reglamento%20estudios%20Doctorado.pdf
Please note that, after the thesis is deposited, you will be required to obtain and validate external quality reports, and incorporate any corrections that they may recommend. You will also have to comply with a series of legal deadlines and validations that may require modifications to the documents deposited. Therefore, you should not agree a defence date with the proposed examination board until you receive the defence authorisation.

In addition, if after a stay or stays at one or several institutions in a non-Spanish-speaking country, you apply for the international mention, you must add:

- Conclusions in English (or the usual language for scientific communication in the field)
No more than one of the five proposed for the examination board.
No. They must belong (be active) to a higher education or research institution.
Yes. According to the UVa emeritus professors’ rules.
Yes, if so proposed by the academic committee of the programme, and bearing in mind that there should be a balance between the number of female and male members.
Yes.
Up to a maximum of one full member and one reserve member may practice their main profession outside a university or research institution. The merits corresponding to this activity would be recorded using Document 1T.
When proposing the thesis examination board, it should be borne in mind that there cannot be two members from the same university, including those from its collaborating institutions: university hospitals are deemed to be part of their corresponding universities. Therefore, for example, if there is already one member from the UVa, there cannot be another from the HCUV or HURH.
There must be no personal, academic or economic conflicts of interest with the doctoral student, their supervisors or tutors, in accordance with art. 23.2 of Law 40/2015. Examples of conflicts of interest are:
- Close relationship (consanguinity within the fourth degree or affinity within the second degree).
- During the doctoral studies, having had any appreciable personal, work or academic relationship. For example, there must not have been any joint publications with the doctoral student, and if there were any with a thesis supervisor or tutor, they must be marginal and justified.
In addition, they must not work in the same institution, and their institution must not be associated with the EsDUVa. In general, if there were UVa professors in positions at that institution, or if there is a member of that institution that is an official professor of the doctoral programme, it would be considered as associated. In cases of international co-supervision thesis or application for the International Doctorate mention, you must comply with their specific rules.
In case of doubt, it is recommended to consult with the EsDUVa before requesting the report.
In case of doubt, it is recommended to consult with the EsDUVa before requesting the report.
Yes, as long as there is not already a member of the thesis examination board from the UVa, or from an institution or company involved in the thesis, such as the contracting institution in an Industrial Doctorate.
All institutions in which an examination board member or external reviewer works should be considered. The institution where they mainly work should be selected as the main one in the documents, but all other institutions should also be specified in the suitability report.
Yes, as long as they hold a doctoral degree and fulfil the required eligibility criteria. The institutions to which they belong should be indicated in the suitability report. Note that a part-time UVa lecturer also counts as a UVa lecturer.
External evaluators and examination board members not eligible for assessment by six-year research periods must demonstrate that they would clearly obtain a positive assessment in their main area of work. The information provided to evidence the quality of their contributions must clearly demonstrate that they would undoubtedly obtain such a positive assessment, such that at least five contributions in the last seven years must be listed. In particular:
- For journal publications, at least the DOI, the full name and ISSN of the journal must be included, as well as its impact indexes in the year of publication (or last published), its quartile and its position in the index in the area closest to that of the thesis.
- For journal publications, at least the DOI, the full name and ISSN of the journal must be included, as well as its impact indexes in the year of publication (or last published), its quartile and its position in the index in the area closest to that of the thesis.
Document 7T justifies for each contribution its detailed relationship.
Yes. Each co-author must provide a signed waiver, including justification of the doctoral student's main contribution to the research work. Waivers can be condensed into a single document signed by the co-authors and explicitly stating the main contribution of the doctoral candidate.
With a visible electronic certificate (firmaelectronica.gob.es). If this cannot be obtained as the signatory does not have a NIE or DNI, it could be obtained with the national equivalent of the Electronic Commerce Framework Law (UNCITRAL). If the signatory's country does not have this law in place, the academic committee will attest to the signatory's identity and authorship.
Approximately each two weeks. The dates are published on the EsDUVa website.
The secretary or president of the examination board must notify such circumstances to tesis.escuela.doctorado@uva.es, indicating whether the member affected by the incident can act by videoconference or must be replaced. If they must be replaced, one of the reserves appointed by the Rector's office will participate.
You can apply for a doctoral degree the day after the votes cast by the doctoral thesis examination board for the award of the ‘cum laude’ mention have been examined, as long as the secretary of the board has delivered the minutes and the reports to the administrative secretariat of the Doctoral School.
The session is held every Monday.
More information about this procedure: Application for a PhD degree (UVa).
A report detailing the changes made to the thesis as a result of these reports will be uploaded to the platform. Each comment made by the external evaluator must be answered individually. If any of them cannot be, the reasons should be given in that document.
The secretary of the thesis examination board will inform the Doctoral Thesis Committee (tesis.escuela.doctorado@uva.es). The thesis will be defended at a public session on a teaching day, at the place, date and time published on the website of the Doctoral School of the UVa.
The defence will preferably be carried out in person. At most, two members of the examination board may participate by videoconference. With the application for deposit authorisation, an online event may be requested in which all participants will attend by videoconference.
Although hospitals cannot be considered research institutions (as this is not their primary activity), if the external evaluator is working at a university other than the UVa (e.g. as a part-time lecturer) or at a research institute outside the UVa, they may act as a member of that university or institute.
